Job Summary:  A Central Document Specialist is an employee who delivers support to our central processing in an accurate and timely manner. Through frequent contact via multiple contact channels, i.e. electronic, telephone and in person, complete a variety of administrative and customer service tasks aimed at providing a high level of quality assurance. A Central Document Specialist is responsible for the day-to-day maintenance of incoming documents and emails to ensure accurate and responsive services to internal and external customers

Responsibilities and Duties:

• Sorting and distributing emails, processing materials for courier, faxing documents, photocopying, scanning, etc.

• Troubleshoots problems and determines correct resolution to specific floorplan issues.

• Professionally and courteously interacts with auction partners and branches, to provide information in response to inquiries pertaining to the floorplan transactions.

• Responds to customer requests, concerns and problems and ensures an immediate response and follow-through until issue is resolved.

• Responds to email inquiries from both internal and external customers in a timely and professional manner

• Ships packages to multiple locations, both domestic and international.

• Maintains an organized workspace/area that is conducive to the overall success of the department.

• May be required to work overtime as the business needs arise.

• Assists with other functions and/or duties as needed.

Educational Requirements and Qualifications:

Some post high school course work in related field is preferred. Familiarity with concepts, procedures and processes typically used in automotive and financial services industries. Experience handling vehicles titles preferred.

Ability to use Microsoft Excel, Word, and Outlook along with internet, and internal work queues are major components of the position. Must have proficient numeric ability and reasoning, telephone, computer literacy, software competencies. Good organizational, clerical, oral, and written language skills.  Detail oriented; team player; excellent customer service; quick learner; adaptable and open to change; ability to multitask; must be a strong researcher and problem-solving skills.

Physical and Visual Requirements

Position requires sitting for extended periods in an office environment with some walking and carrying (mail envelopes, packages, files, folders, etc.).  Preparation or review of documents and reports using pen/pencil, calculator, or keyboard is a major component of the position.
